Follow-up rounds

Who is behind on their subscription, how far behind, and a printed ward sheet to walk with, with what came back from each door recorded against it.

Chasing varisangya is the job that never ends: small amounts, hundreds of houses, every month. The Follow-up round page is that job on one screen. It shows who is behind and how far behind, it prints the ward sheet a collector carries, and it remembers what came back from each door.

Reading the list

Behind
How old the oldest unpaid period is, counted in months. A member inside the month that has just opened is not behind; a member who owes only a balance carried in from your old book is marked Carried in, because they have not missed a payment at all.
Outstanding
What to ask for. Where somebody is behind in one fund and paid ahead in another, this is the amount actually owed, not the two netted against each other.
Awaiting deposit
Money a collector has already taken at the door but not yet handed to the treasurer. Do not ask the house for it again.
Last chased
When this house was last on a sheet, and who recorded the visit. Filled in automatically when you make a sheet.

The list opens on everyone who is behind. The month that has only just started is left out. Choose This month in the Behind filter to include it.

Walking a ward

  1. Filter to the ward, and to how far behind you want to chase.
  2. Tick the houses. The bar at the bottom keeps a running count and total.
  3. Press Make the sheet. The round is saved and an A4 sheet downloads, on your letterhead, with the house, the name, the phone number, the amount, and blank columns for Collected, Promised by and a signature.
  4. Walk it. Afterwards open the round from Rounds in progress and tap each house to record what happened.
  5. Close the round when you are done. Everything you recorded stays.

What came back

Collected
They paid. Record the payment itself on Collections or the member page as usual.
Part paid
They gave something, but not all of it.
Promised
They will pay later. Note how much and by when.
Not home
Nobody answered. Worth another round.
Refused
They will not pay. The committee decides what happens next.
Wrong house
The address is wrong; fix it on the member page.

Recording an outcome does not record money. Enter the payment on Collections or the member page as usual.

Reaching people without walking

Every row has a call button and a WhatsApp button that opens a message already written, with the right amount in it. Those need nothing switched on: they simply open the app on your own phone. If your masjid has WhatsApp sending enabled, a whole selection can be messaged at once instead.

Who can see it

The administrator, the treasurer and cashiers see the whole register. A cluster leader sees their own ward and nothing else, and the sheets they make cover their own houses only. Members who have died or left the register are never on the list, whatever they owed.
