Member registration links

Let households fill in their own details through a shared link, then review each one before it joins the register.

Collecting member details by hand is slow work. Registration links let a household enter its own details through a simple online form, so your committee reviews the information instead of typing it all in. Nothing goes into your register automatically: every submission waits for a committee member to check and approve it first.

The two kinds of link

Open link
One link you can share with everyone, for example in a WhatsApp group or as a QR code. Any number of households can fill it in. Best when many new families need to register themselves.
Household link
A personal, single-use link for one specific house to confirm or update its details. When the household opens it, their existing details are filled in for them. Best for keeping a known family record up to date.

How a household verifies

When WhatsApp is set up for your masjid, a household confirms a one-time code sent to their WhatsApp number before they can submit, so you know the number is real. When WhatsApp is not available, a light bot check is used instead. Either way, the committee still reviews every submission, so verification is an extra safeguard rather than the only one.

Creating and sharing a link

  1. Open Registrations from the menu and choose New link.
  2. Pick Open link to share with everyone, or Household link and choose the house it is for.
  3. Optionally add a label for your own reference, an expiry, and whether to ask for WhatsApp verification.
  4. Choose Create link. Then Copy the link to share it, or, when WhatsApp is on, Send it straight to the household.

Reviewing submissions

Everything a household submits appears under Pending submissions. Each one shows the family head and the members at a glance; choose View full details to see every field before you decide. Then:

  1. Approve to add the household to your register. A new house is created, or an existing house is updated when the submission came from a household link. You can set the house number first.
  2. Reject to discard a submission you do not want. Its personal details are cleared.
  3. Delete (administrators) to remove a submission outright, for example on a request to delete someone's data.

What the household sees

The form opens in Malayalam for masjids in India, and the household can switch between Malayalam and English at the top of the page at any time. If you want a link to open in one language, add ?lang=ml or ?lang=en to the end of it before you share it.

After submitting, a household is shown a short reference code. They can enter it on the status page to see whether their submission is still pending or has been approved, so they are not left wondering. That page follows the same language as the form. They never see anyone else's details.

Privacy and old submissions

Submitted details are held only for review. Once you approve a submission the information moves into your register and the original is cleared; a rejected one is cleared too. If submissions build up unreviewed, the inbox offers to clear those past a retention period, with a confirmation first. You can read more under Privacy.
