Recording payments

Log monthly subscriptions and one-time donations, and issue receipts.

Recording a payment is how you log money your masjid has received. Each payment is saved against a fund and a date, and you can issue a numbered receipt for it. There are two kinds of payment you can record.

The two kinds of payment

A subscription payment is tied to a member, a fund and a particular month. It is how a member keeps up with the amount they have agreed to give. Recording one reduces that member's Outstanding.

A one-time donation is money given once, with just a date and an amount, and no monthly period. It does not have to belong to anyone, so it can be recorded as anonymous.

The fields explained

Member
For a subscription payment, the member the money came from. A one-time donation can be left without a member, or recorded as anonymous.
Amount
How much was received, in ₹. For a subscription this is filled in from the member's agreed amount, but you can change it.
Fund
Which fund the money goes towards, for example General or Building.
Date paid
When the money was received. It defaults to today, and can be back-dated for a payment that came in earlier.
Method
How it was paid: cash, bank transfer, UPI, card, cheque, online, or other.
Reference
An optional note such as a bank transaction id or cheque number, to help you match it later.
Status
Usually completed. It can also be pending, failed or refunded for payments that did not fully clear.
Receipt
A receipt number and date, if you choose to issue one when recording the payment.

Recording a subscription payment

  1. Open Payments from the menu and choose Record payment.
  2. Pick the member. The amount fills in from their subscription, but you can edit it if they gave more or less.
  3. Confirm the fund and the month the payment is for.
  4. Set the date paid and the payment method, and add a reference if you have one.
  5. Choose whether to issue a receipt now or later, then save.

Recording a one-time donation

For a one-time donation, leave the member blank or mark it anonymous, then enter the amount, fund, date and method. There is no month to choose, because it is not tied to a subscription. You can record several payments in one view, and filter the list by fund, method or status to find any of them quickly. To save or share the figures, see Reports.

Receipts

Every receipt is numbered and carries your masjid's name and logo, so it looks official to the person who gave. You can issue a receipt at the moment you record a payment, or leave it and issue one later. Once issued, a receipt can be shared as a PDF over WhatsApp or email, printed, or downloaded.

Editing and removing payments

A payment can be edited if you got a detail wrong, or removed if it should not have been recorded. Removal is reversible: the record is hidden rather than wiped, so an accidental deletion can be undone and your history stays intact.
